POSITION TITLE: SENIOR DATABASE CLERK/TYPIST FOR BUILDING DEPARTMENT
Job Summary: This position is responsible for overseeing and performing a wide range of clerical and administrative tasks related to building permits and inspections within a municipality. This position involves customer service, database management, managing permit processing, inspection coordination, and compliance oversight. The role requires knowledge of building codes, regulations, and office procedures, with an emphasis on accuracy, organization, and excellent communication skills. Hours: 35 hours per week. Pay:$18.50/hour.
Key Responsibilities:
- Customer Service:
- Answer inquiries from the public, contractors, and other stakeholders regarding building codes, permit requirements, and inspection processes.
- Provide detailed information on inspection schedules, results, and the permit process.
- Assist with navigating permit requirements and addressing concerns or issues as they arise.
- Permit Processing & Issuance:
- Receive, review, and verify building permit applications for completeness.
- Collect permit fees, process payments, and issue building permits and related documents.
- Maintain accurate records of all permits issued, ensuring compliance with local regulations.
- Data Management & Reporting:
- Maintain computerized databases with permit applications, inspection records, and project details.
- Generate reports on permit activity, inspections, and code compliance.
- Update, file, and organize relevant documents related to building permits and inspections.
- Inspection Coordination:
- Schedule and coordinate inspections with building inspectors based on project timelines and progress.
- Communicate inspection results to applicants, contractors, and other relevant parties.
- Follow up on outstanding inspections and ensure all required inspections are completed on time.
- Compliance & Record Keeping:
- Ensure adherence to local building codes, zoning regulations, and municipal policies.
- Identify and report potential code violations, referring issues to the building official as necessary.
- Maintain accurate and up-to-date records for all permit applications and inspections.
- Administrative Support:
- Prepare and maintain various reports, statistical tabulations, and memoranda.
- Process requisitions, claims, vouchers, bills, and receipts as needed.
- Perform routine office tasks such as answering phones, operating office equipment, and filing documents.
Required Skills and Qualifications:
- Strong organizational and administrative skills, with a keen attention to detail.
- Knowledge of local building codes, zoning regulations, and municipal policies.
- Proficiency with computer applications, including database management and word processing.
- Excellent communication and customer service skills, both written and verbal.
- Ability to work independently and exercise judgment in applying procedures and methods.
Education & Experience Requirements:
- High school diploma or equivalent, with at least two years of clerical experience.
- Successful completion of clerical training or college coursework may substitute for part of the required experience.
- At least one year of experience in a building department or related field is preferred.
- This is a civil service position; therefore, employment will be probationary until the relevant civil service exam for this position has been successfully completed.
